We are seeking a motivated individual who thrives on assisting others and excels in both client-facing interactions and behind-the-scenes administrative tasks.

As a pivotal member of our team, you will have the opportunity to make a significant impact by providing exceptional customer service while also ensuring the smooth operation of our administrative processes.

This hybrid role offers a diverse range of responsibilities and requires someone who is highly adaptable, organized, and passionate about delivering top-notch support.

Key responsibilities include :

Customer Service Excellence :

  • Engage with clients in a friendly and professional manner, addressing their inquiries and concerns via various communication channels, including phone, email, and in-person interactions.
  • Demonstrate patience, empathy, and active listening skills to ensure client satisfaction and retention.
  • Act as a knowledgeable resource for clients, providing information about our products, services, and policies.
  • Proactively identify opportunities to enhance the customer experience and contribute to ongoing improvement initiatives.

Administrative Coordination :

  • Creating, editing, compiling and proofreading of documents including correspondence, meeting minutes, notices of meetings and manuals.
  • Managing of administrative processes including tracking completion dates and following precise procedures.
  • Preparing Strata Property Act forms.
  • Maintaining and updating documents on a variety of websites.
  • Updating and using the property management database.
  • Assisting with answering general office phone calls and transferring them to the appropriate person.
  • Participating in daily or weekly touchpoints with team members.
  • Filing of documents.
  • Following office and company protocol regarding services.
  • Positively representing the company in the community.
  • Collaborate with cross-functional teams to streamline processes, troubleshoot issues, and implement best practices.

Qualifications and Skills :

  • Strong communication skills, both verbal and written, with a focus on clarity, professionalism, and attention to detail.
  • Customer-centric mindset with a genuine desire to assist and support clients.
  • Proficiency in Microsoft Office applications (e.g., Word, Excel, Outlook) and other relevant software systems.
  • Excellent organizational and time management abilities, with the capacity to prioritize tasks and meet deadlines.
  • Adaptability and resourcefulness in navigating diverse responsibilities and changing priorities.
  • Previous experience in customer service, administrative support, or related fields is preferred but not required.
  • Commitment to maintaining confidentiality and handling sensitive information with discretion.
  • A positive attitude, team-oriented mindset, and willingness to learn and grow in a dynamic, demanding and fun work environment.

Position Details :

  • Full-time, permanent position.
  • $40,000-50,000 annually to start.
  • Office hours are Monday through Friday, 8 : 30 am - 5 pm, with a 1-hour lunch break.
  • Work from home opportunities are available upon completion of the training period (please note that this is not a remote position, in-office hours are required).
  • Weekends and statutory holidays off.
